Job Description: TIC Office Manager

40 hours per week 

Supervisor: Senior Pastor

 

The Mission Of The Role  

The TIC Office Manager will handle administrative tasks necessary for managing the office,  church facilities, and church communication in order to free up the pastoral staff to focus on ministry and provide support to the elder board as needed. 

 

Key Outcomes

 

  1. Ensure the office runs efficiently and effectively.  

  2. Ensure there is clear communication across all church communication channels including email, social media, and our website.

  3. Manage our facilities to ensure that rooms are reserved for ministries as needed, bills are paid, and we maintain a good relationship with the landlord/venue staff. 

  4. Represent the church with excellence and be the point of contact for office visitors, vendors, mission partners, and others.  

Duties

  • Provide direct administrative support, including scheduling appointments, meetings, and events, booking travel, maintaining the filing system, handling mail and shipping packages, preparing materials for ICGA and congregational meetings, and updating the congregation database and employee records.  

  • Prepare and file government paperwork, including reports to the MOI and staff ARC renewal; ensure that the ICGA/TIC is compliant with government regulations and fulfilling the requirements.

  • Ensure that there is clear communication across the church for activities, events, classes, and announcements.  Assist with congregational emails.  Update the information on the website on a weekly basis.  Manage volunteer scheduling as needed through Planning Center Services, our church management platform. 

  • Manage all aspects of the office and church facilities, including room reservations, payments, and special requests.  Communicate with vendors, volunteers, and staff.  Assist in preparing flyers, name tags, handouts, and other forms of printed communication as requested.  Respond to emails, phone calls, and queries.  Provide answers, resources, and solutions as requested.

  • Oversee and improve office efficiency by maintaining the appearance of common areas, keeping the office organized and tidy, and managing filing and software systems.  Oversee and maintain office supplies and equipment for uninterrupted function, identify and fulfill office supply needs, manage vendors, and ensure amenities for staff are stocked.   

  • Coordinate visits of guest speakers, guest worship leaders, and mission partners, topics, schedules, travel, and support the day of the visit.  Coordinate food delivery as needed for the office and church programs.

  • Ability to read, write, and speak in Mandarin and English

  • Excellent written communication

  • Strong time-management and people skills

  • Computer skills and experience with online platforms.  Proficiency in Microsoft Office, with an aptitude to learn new software and systems
